Purpose:
This guide is to be used when creating mailbox forwarding rules for email aliases belonging to an M365 group with a primary email address.
Please note: For these rules to take effect, when sending TO an alias address, type the entire desired address in the ‘To’ line, then click out of the ‘To’ line (ex. select the ‘Subject’ line). Do not hit enter, as this will auto select the primary address, rendering the below rules ineffective. Before sending the email, ensure the address is correct.
- Access Settings via Outlook.
Select 'Mail' then 'Rules' once in settings.
3. Select 'Add new rule'.
4. Begin creating your rule. Fill out line 1 with desired name of your rule (EX: Retail Procurement: AZ)
5. Next, create your condition. Select 'Recipient address includes' in the lefthand drop down, along with the correlating email address to the rule.
6. Create an action. Select 'Move to' in the lefthand drop down, this will ensure all emails received by 'Procurement_AZ@verano.com' are moved to the correct folder. Next, select your folder where you'd like the emails to route to. This can be a pre-existing folder, or you can select 'Create new folder'. In this case, we want all emails received by 'Procurement_AZ@verano.com' to be moved to the Retail Procurement: AZ folder.
7. Deselect 'Stop processing more rules', then save. You can also select 'Run rule now' to move any existing communications into the folder for the rule you just created, then save.
